PUBLIC NOTICE TO BID: Cleaning Services

Commercial Cleaning Bid for the Town of Coeymans

The Town Board of the Town of Coeymans is seeking sealed bids from individuals and or companies for multiple town buildings and park bathrooms.  Interested bidders should submit proposals by 2 pm on June 14, 2024 to the Town Clerk’s office located at 18 Russell Ave, Ravena N.Y. 12143 or emailed to: townclerk@coeymans.org.  Bids will be opened publicly and presented to the Coeymans Town Board for review and possible approval during the June 27th 2024 Town Board meeting.

Proposals should be submitted on or before the submission deadline. Proposals received after the above date and time will not be opened and will not be considered. The Town is under no obligation to return unopened bids.

Notwithstanding any other provisions of this document, the Town Board reserves the right to award this contract to the vendor(s) that is best at meeting the requirements of the document and not necessarily to the lowest bidder. Further, the Town Board reserves the right, for any or no reason, and in its sole absolute discretion, to (1) amend in whole or part, withdraw or cancel this document, and (2) accept or reject any or all proposals prior to execution of the services contract for any or no reason and with no penalty to the Town.

General Information:

Seeking commercial cleaning of two (2) buildings located at 18 Russell ave. Ravena NY 12143 and 54 Mountain Road Ext. Ravena, NY 12143. In addition, the seasonal cleaning of bathrooms located at Joralemon Park and Coeymans Landing. Please see attached Scope.

Specifications

  1. The Bidder shall be in full compliance with all applicable federal, state, and local laws, rules, regulations, and orders of all governmental agencies;
  2. The Bidder should provide a reference and experience in the business of commercial cleaning;
  3. The successful Bidder will be required to provide all labor, tools, materials, equipment for cleaning the requested areas. 
  4. The Town will provide paper products, trash liners and hand soap.
  5. The successful Bidder shall provide commercial cleaning on a schedule to be determined at the walk through or on a phone conference.
  6. Prior to the execution of the purchase contract, the successful bidder, if a commercial company, should provide a Certificate of Insurance, naming the Town of Coeymans as an additional insured with a waiver of subrogation on the certificate, in the amount of not less than $1,000,000 for General Liability each occurrence.

Duration of Contract:

It is the intent of the Town to enter into a contact for one (1) year duration, billed monthly.

Termination:

The Town or Successful Bidder may, with just cause, terminate this contract at any time. Termination by either party shall be by a certified letter with thirty (30) days’ notice.

SCOPE OF WORK

Offices and Public Areas:

  • Vacuum carpets, hard floors swept and mopped
  • Empty all trash receptacles
  • Dusting of all high/low areas including baseboards
  • Cleaning of counters and table tops
  • Glass doors to be cleaned inside and out

Bathrooms (office and park):

  • Thorough cleaning of toilets, urinals and sinks
  • Replenishment of paper products and soap
  • Mirrors cleaned
  • Floors swept and mopped
  • Wipe down of frequently touched areas such as doors, handles and knobs.

Additional services such as carpet cleaning and floor stripping will be priced on an as needed basis.
